About this policy
This policy explains what personal information OWL Marketplace collects through this website, why we collect it, who we share it with, how long we keep it, and what rights you have over it.
It covers this website and our sales and marketing activity. It does not cover the OWL Marketplace software itself or Athena. If you are a customer or a supplier using our software under an agreement with us, the handling of data inside that software is governed by that agreement and our data processing addendum, not by this policy.

Information we collect
Information you give us
When you complete a form on this site, we collect what you enter. Depending on the form, that can include your name, business email address, telephone number, company name, job title, country or coverage areas, the size of your portfolio or inventory, the nature of your enquiry, and any free text you choose to write.
Our forms are business forms. Please do not enter special category information such as health, biometric, racial or ethnic origin, political opinions, religious beliefs, trade union membership, sex life or sexual orientation. We do not ask for it and we have no use for it.
We also collect the content of any email or telephone call you initiate with us, and any information you provide when you attend a demonstration, a webinar or an industry event we host or sponsor.
Information collected automatically
When you visit this site our host records standard server log data: your IP address, browser type and version, operating system, the pages you request, the date and time of each request, and the page that referred you. This is used for security, fraud prevention, troubleshooting and aggregate traffic measurement.
We do not run Google Analytics, advertising pixels, or any social media tracking tag on this website. We do not build advertising profiles and we do not track you across other websites.
Cookies and similar technologies
This site uses a small number of cookies. Those set by WordPress are strictly necessary: they keep your session working, remember your consent choices, and protect forms against automated abuse. We do not set advertising or cross-site tracking cookies.
Two third parties can receive information about your visit through content embedded in our pages:
Google Fonts. Typefaces on this site are requested from Google's servers. That request necessarily discloses your IP address to Google. If you are in the European Economic Area or the United Kingdom and would prefer this not to happen, a browser extension that blocks third-party font loading will prevent it, and the site remains fully usable.
Gravatar, operated by Automattic. On article pages, author and commenter avatars are requested from Gravatar using a hashed form of the associated email address. This discloses your IP address to Automattic.
You can refuse or delete cookies through your browser settings. Strictly necessary cookies cannot be switched off without parts of the site failing to work.
How we use your information
We use the information described above to respond to your enquiry, to send you the document or quotation you requested, to arrange and run product demonstrations, to match suppliers with client requests, to administer and secure this website, to keep records of our dealings with you, to comply with legal and accounting obligations, and to send you marketing communications where you have asked to receive them or where you are an existing business contact and applicable law permits it.
Every marketing email we send contains a one-click unsubscribe link. Unsubscribing stops marketing but does not stop operational messages about a service you already use.
Legal bases, for visitors in the EEA and the United Kingdom
We rely on your consent when you submit a form or subscribe to marketing, and you may withdraw it at any time. We rely on the performance of a contract, or steps taken at your request before entering into one, when we respond to a quotation request or set up a trial. We rely on our legitimate interests in operating, securing and improving our website, in understanding aggregate traffic, and in direct business-to-business marketing to relevant professional contacts, having weighed those interests against your rights. We rely on legal obligation where we are required to retain records or respond to lawful requests.
Automated decision-making
We do not make decisions about you that produce legal or similarly significant effects using automated processing alone through this website.
Who we share it with
We do not sell your personal information. We do not share it for cross-context behavioural advertising. We have not done so in the preceding twelve months.
We share information with the following categories of service provider, each bound by contract to process it only on our instructions:
Zoho Corporation receives every form submission on this site. Our forms post directly into Zoho CRM, which is where our sales team works. This includes all fields you complete.
WP Engine hosts this website and processes server log data on our behalf.
Google receives your IP address when your browser requests fonts, as described above.
Automattic receives your IP address when your browser requests a Gravatar avatar on article pages.
We may also disclose information to our professional advisers where necessary, to a purchaser or successor in the event of a merger, acquisition or sale of assets, and to law enforcement, regulators or courts where we are legally required to do so or where it is necessary to establish, exercise or defend legal claims.
International transfers
We are based in the United States and our service providers process data in the United States and other countries. If you are in the European Economic Area, the United Kingdom or Switzerland, your information will be transferred outside your country.
Where we transfer personal information out of the EEA or the UK, we rely on the European Commission's Standard Contractual Clauses, together with the UK International Data Transfer Addendum where the UK GDPR applies, and we assess whether additional safeguards are needed in the destination country. You may request a copy of the relevant transfer mechanism by writing to privacy@owlmarketplace.com.
How long we keep it
Enquiry and demonstration requests that do not become customers are kept for 24 months from your last interaction with us, then deleted. Records relating to customers and suppliers are kept for the duration of the relationship and for 7 years afterwards, to meet contractual, tax and accounting obligations. Marketing subscription records are kept until you unsubscribe, and we then retain a minimal suppression record indefinitely so that we do not contact you again by mistake. Server logs are kept for 12 months.
Where a longer period is required by law, or where information is relevant to an actual or anticipated legal claim, we keep it for as long as necessary for that purpose.
Your rights
If you are in the EEA or the United Kingdom
You have the right to be informed about how we use your information, to request a copy of it, to have inaccurate information corrected, to have it erased in certain circumstances, to restrict how we process it, to receive it in a portable format, and to object to processing carried out on the basis of legitimate interests. Where we rely on consent, you may withdraw it at any time without affecting processing that took place beforehand. You have an absolute right to object to direct marketing.
You also have the right to lodge a complaint with your national data protection authority. In the United Kingdom that is the Information Commissioner's Office. We would appreciate the chance to address your concern first.
If you are a California resident
Under the California Consumer Privacy Act as amended by the California Privacy Rights Act, you have the right to know what personal information we collect, use and disclose, the right to request deletion, the right to request correction, the right to opt out of the sale or sharing of personal information, the right to limit the use of sensitive personal information, and the right not to receive discriminatory treatment for exercising any of these rights.
We do not sell or share personal information as those terms are defined by the CCPA, so there is no opt-out to exercise. We do not collect sensitive personal information through this website. In the preceding twelve months we have collected the categories of identifiers, commercial information and internet activity described in section 2, from the sources and for the purposes described in sections 2 and 3, and disclosed them for business purposes to the service providers named in section 4.
An authorised agent may submit a request on your behalf with written permission that we can verify.
Making a request
Write to privacy@owlmarketplace.com. We will verify your identity, usually by confirming that you control the email address associated with the information, and respond within 30 days for GDPR requests and 45 days for CCPA requests. Where a request is complex we may extend that period and will tell you if we do. Exercising these rights is free unless a request is manifestly unfounded or excessive.
Security
We use encryption in transit across the whole site, access controls that limit who on our team can see enquiry data, and hosting infrastructure that is patched and monitored by our provider. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If a breach of your personal information occurs that is likely to result in a risk to your rights, we will notify the relevant supervisory authority within 72 hours of becoming aware of it and will notify you directly where the law requires it.
Children
This website is directed at businesses and is not intended for children. We do not knowingly collect personal information from anyone under 16, or under 13 in the United States. If you believe a child has provided us with information, write to privacy@owlmarketplace.com and we will delete it.
Links to other websites
Our pages link to websites we do not control, including our own customer login at source.owlmarketplace.com and third-party industry resources. This policy does not apply to them. We encourage you to read the privacy policy of any site you visit.
Changes to this policy
We may update this policy to reflect changes in our practices or in the law. The date at the top shows when it was last revised. Where a change materially affects your rights we will give prominent notice on this website and, where we hold your contact details and the law requires it, by email.
